Conditions for Rentals

By renting our product you agree to these terms and conditions:

 

By renting our floral arrangements you understand that though some of these flowers look real, and are named after real flowers, some of them are in fact artificial, and therefore only resemble the real flower for which it is named after or referred to.

 

Payment Options & Deadlines:

We offer 2 payment options: Full payment upfront or a 25% non-refundable retainer submitted with all orders.

  • Due Dates: The remaining balance must be paid in full within 90 days of your booking date, or no later than 30 days prior to the wedding/event—whichever comes first.
  • Short-Notice Bookings: For all orders booked 30 days or less prior to the wedding/event date, the full balance (100%) is due immediately upon receipt of the invoice.
  • Late Payments & Cancellation: If payment of balance due is not made within 90 days, flowers and decor will not be ordered. Flora Rentals reserves the right to close the contract and cancel services at its sole determination if payment deadlines are not met.
  • Automatic Fees: If Flora Rentals determines the contract can still be fulfilled after the deadline you wish to continue the contract, there will be a 10% fee added to the balance due and an additional 10% fee for each 7 days that the balance is late. Any extraordinary costs incurred due to the late payment will be passed on to you.

**These payment policies are in place to eliminate the administrative burden of payment collection, allowing our team to dedicate our full attention to your floral designs. We kindly ask for your respect of these policies.

 

Additions:

Additions less than 30 days prior to the wedding/event, will be accepted up to 7 days prior to the wedding/event and must be paid within 24 hours. No guarantee is given that the same flowers will be available, and pricing will be determined according to what is available. Color and style will be matched as closely as possible.

 

Substitutions:

Flora Rentals reserves the right to make substitutions in the event the flowers or decor received are not of the quality suitable to wedding/event. The integrity of the proposed look and color scheme will be maintained, and flowers of equivalent value will be used. Flora Rentals will inform you if a dyed flower is being used and will not be held liable for staining to any garments due to their usage.

 

At the time of the initial retainer, adjustments can still be made to the invoice. Large additions and subtractions are accepted up until the balance is paid in full. There is a guaranteed minimum payment of 85% of the original proposal. Any liability on the part of Flora Rentals is limited to the full refund of monies paid minus the retainer fee.

 

Due to fluctuating flower prices, price increases may occur and will be passed onto the customer if their rental includes fresh flowers. The customer will be notified as soon as Flora Rentals is made aware of these increases. Flora Rentals will send the customer an invoice for the additional cost, to be paid within 30 days of the event.

 

1 setup/location:

Price is for 1 setup/location only. Additional fees will apply if the desired rental item is to be moved from the ceremony to the reception, or anywhere else. If you need any item moved from the ceremony to the reception, or anywhere else. An additional moving and setup fee will be required. Our arches, pillars, aisle flowers and backdrops are very large and do not fit through normal doorways. Some of them must be dissembled, which will require our movers and/or florist to remove the florals, dissemble the item, transport it to the new location, then reassemble, and re-apply the florals. We require our own team to move any items unless approved from us prior to the event. This is due to insurance, which will not cover anyone outside out team or an industry professional to handle our items.

 

Pickups:

Please be sure to check with your venue to confirm our rentals will fit in the desired space.

All orders include professional delivery, setup, and pickup within a 25km radius of Calgary. Our standard service includes a pickup time scheduled no later than 9:00 PM. Pickups past 9:00 PM will incur an additional fee. For venues located beyond our 25km service radius, we provide customized travel and labor quote to ensure your installation receives the highest level of care. These fees are calculated based on total distances, vehicle requirements and the specialized team (movers and or floral designers) required for your specific design.

We currently service locations within 150km maximum radius of our warehouse. Please contact us directly for an extended delivery and travel quote for your event.

Any pickups past 9:00 PM are subject to a late-night pickup fee, which can be found below.

  • 9:30 PM charge of $200
  • 10:00 PM charge of $250
  • 10:30 PM charge of $300
  • 11:00 PM charge of $350
  • 11:30 PM charge of $400
  • 12:00 AM charge of $450

 

Product Handling:
No rentals can be left outside overnight, including the arches, pillars, backdrops or aisle arrangements of any kind, as well as all floral arrangements.
The arches and arrangements cannot be in the rain due to damage. If there is rain coming and the arch is outside, we will come get the arch early.

 

No one is allowed to transport, take-down, or move our product without prior written approval.
Any damage incurred to our product beyond natural wear while renting our items will be charged to your card in the amount of 3 times the rental price of the item.

 

If an item is not returned within the rental agreement period, you will be charged 4 times the rental cost of the item and will be allowed to keep the item.

Your credit card information is safely stored and will be deleted once the items are returned.

 

All decor must be communicated to Flora Rentals to preserve the consistency of wedding/event. Any decor for the wedding/event not provided by Flora Rentals is not guaranteed by Flora Rentals even in cases where Flora Rentals items are integrated. In such cases, any alterations deemed necessary will be made to preserve consistency and Flora Rentals will be blameless.

 

Venue and Location Limitations:
Flora Rentals is limited by the rules and guidelines of the location(s) and site management. Negotiation with the officials for moderation of guidelines is the responsibility of The Customer; Flora Rentals will offer technical recommendations only. Reimbursements will not be made for unused items due to venue limitations not communicated to Flora Rentals.

 

Cancellations:
We require a minimum 90-day cancellation notice. Regardless of notice period, the 25% retainer is strictly non-refundable as it covers the payment processing fees, administrative time spent on communications, proposal formation, event preparation, fees charged by our banking institution and may include the fees associated with online rental availability costs.

  • For payments made in full: If a cancellation notice is received at least 90 days prior to the event, the 75% balance may be refunded, minus the non-refundable 25% retainer portion.
  • Short-notice cancellations: If a cancellation occurs within 90 days of the event, all monies paid are non-refundable, as inventory has been secured and production is underway.
  • Force Majeure / Emergencies: In the event of a war, fire, tragedy, pandemic, natural disaster, or other major emergencies within 90 days of your event, we will move your retainer or full payment free of charge to a new available date.
  • Flora Rentals Cancellation: Flora Rentals reserves the right to cancel this contract if at any time we feel the obligations cannot be met. In such cases, we will provide a full refund of all monies paid to date. 

 

This agreement will be governed by and interpreted in accordance with the laws of the Province of Alberta, Canada.

In the event of any dispute arising out of or relating to this Agreement, the parties agree to attempt to resolve the dispute through good faith negotiations.

If the parties are unable to resolve the dispute by negotiation within 30 days after written notice of the dispute is provided by one party to the other, then the dispute shall be referred to and finally settled by binding arbitration in accordance with the Arbitration Act (Alberta).

The arbitration shall be conducted by a single arbitrator appointed in accordance with the said Act. The arbitration shall be held in Calgary, Alberta, Canada. The decision of the arbitrator shall be final and binding on the parties and may be entered in any court of competent jurisdiction.

 

Governing Law: The clause specifies that the contract is subject to Alberta law.

Negotiation Attempt: It encourages resolving disputes through negotiation before resorting to arbitration.

Arbitration in Alberta: If negotiation fails, the dispute will be settled through binding arbitration according to Alberta's Arbitration Act.

Location of Arbitration: The arbitration hearing will take place in Calgary, Alberta.

Legal Enforcement: The arbitrator's decision can be enforced in any court with jurisdiction.
